Purpose: This Health and Safety Policy sets out the approach of our gardening company to protect employees, clients and the public while delivering gardening services in Hounslow and the surrounding area. It establishes clear responsibilities, risk control measures and monitoring arrangements so that our landscape maintenance, lawn care and horticultural works are carried out safely and professionally. The policy applies to all staff, temporary workers and contractors engaged by the Hounslow gardening services team.n
Scope and objectives: The objectives are to reduce incidents, prevent injury and ill health, and ensure compliance with accepted safe working practices. We will do this through competent supervision, appropriate training, safe systems of work and regular review. The policy covers site operations, vehicle use, equipment maintenance and customer premises activities performed by our gardening company in Hounslow and adjacent localities.n

Statement of intent: We believe all accidents and occupational ill health are preventable. Responsibilities and roles
nManagement responsibilities: Senior managers will ensure risk assessments are completed, that safe working procedures exist and that appropriate training and equipment are provided. Managers must also monitor compliance and act on safety concerns raised by operatives. The gardening company will maintain records of training, maintenance and incident investigations.n

Employee responsibilities: All operatives and gardeners must follow safe systems of work, use provided personal protective equipment (PPE) and report defects or near misses immediately. Staff must not carry out tasks they are not trained or competent to perform and should seek assistance for unfamiliar or higher-risk jobs.n
Contractors and subcontractors: Anyone working on behalf of the business is required to follow this policy and our specific site rules. Subcontractors must provide evidence of competence and demonstrate suitable insurances, as well as cooperate with our risk control arrangements for landscaping projects or garden clearances.n
nRisk assessment and control measures

Risk assessment process: We carry out documented risk assessments for recurring tasks and bespoke site activities. Assessments consider manual handling, use of machinery (mowers, strimmers, chainsaws), hazardous substances (fertilisers, pesticides), working at height and traffic risk when operating near roads or driveways. Controls are implemented using the hierarchy of risk reduction: elimination, substitution, engineering controls, administrative controls and PAD (PPE).n
Safe working procedures: Written safe systems cover machinery start-up and shutdown, guarding and maintenance regimes, fuel handling, lock-off/tag-out where required, and procedures for working near utilities. Lone working is risk-assessed and requires check-in procedures. Where customers’ premises are involved, special arrangements protect occupants and pets.n

Training and competence: We provide induction and task-specific training, including safe handling of tools, pesticide awareness and first aid. Records of competency and refresher training are maintained. Supervisors are trained to spot unsafe acts and to coach staff in implementing corrective measures proactively.n
Personal protective equipment (PPE) and equipment care: The company supplies appropriate PPE such as hearing protection, eye protection, gloves, hi-vis clothing and steel-toe footwear. PPE use is mandatory where risk assessments identify a need. Equipment is subject to pre-use checks, routine servicing and a defect reporting system. Faulty machines are isolated until repaired.n
nHazardous substances and waste: Chemicals are stored securely with COSHH-style risk information available to operatives. Substances are used only by trained staff and in accordance with manufacturer instructions. Waste green material and chemical containers are disposed of responsibly and in line with good environmental practice.n
nIncident reporting and emergency procedures: All accidents, incidents and near misses are recorded and investigated to prevent recurrence. Emergency procedures include first aid arrangements, emergency contacts and evacuation processes for larger sites. We encourage early reporting and open discussion to learn from events and improve safety practice.n
nMonitoring, review and continual improvement: We regularly audit operations, carry out toolbox talks and use performance indicators to measure safety outcomes. The policy is reviewed at least annually and after significant changes to operations, staff or following serious incidents. Lessons learned are embedded through updated training and revised procedures.n
nClient and public interaction: When performing domestic garden maintenance or commercial groundworks, we ensure work areas are cordoned and signed where appropriate to protect the public. Clients are briefed on site-specific risks and asked to cooperate with safe working requests, for example keeping children and pets away from active work zones.n
